Technology Committee Meeting Minutes
January 16th, 2007

Location: Livonia Civic Center Library

•    Meeting called to order by Chair, Michael McEvoy at 9:42 am
•    Introductions
•    Agenda approved without changes
•    Minutes approved without changes

TLN UPDATE:
•    All sites have now been migrated to the new ATT network.
•    Orion Township will be migrated to opt-e-man in February 2007. The delay to opt-e-man is due to the need to pull fiber to their property line.
•    Router upgrade performed on January 10th should have resolved NVPN slowness. Mark Hurley is still working with Merit to resolve opt-e-man routing issues. Please make Mark aware of any continued slowness.
•    ATT billing was estimated this past quarter (Sep-Dec). TLN has finalized billing arrangements with ATT so all billing will be for the actual amount for the next quarter (Jan-March).
•    SAM version 8.5 has been installed at Royal Oak.
•    An upgrade schedule will be emailed to the samtln group on a weekly basis. Mark & Don will be overseeing the upgrades at each site.
•    The next SAM user group meeting and training for SAM version 8.5 is set for March 28 at Redford from 9:30 to 3:00. Lunch is $8 per person. Please return the lunch form to Redford by March 21st.  
•    Powerware will be starting up the UPS unit at TLN on January 23. All TLN equipment will be migrated over to the new UPS unit by January 31.
•    All existing Deep Freeze sites received upgrade information. TLN is still waiting for some renewals to come through. Please submit information regarding Deep Freeze renewals before January 31. Renewal notices for Deep Freeze will be sent out in August or October.
•    Daylight Savings Time has been moved up to the second Sunday in March. Microsoft has released a patch to resolve this change. The patch is currently not considered a critical update and therefore is not included in the Automatic Updates.
•    Canton Library is offering a virtualization seminar on January 18. The workshop is free. Don Walters, Mark Hurley, and Angie Michelini will be attending this seminar.
•    Angie will be attending a Merit CALEA workshop on January 31. Please email her any questions regarding CALEA. CALEA involves providing law enforcement access to routers and switches. CALEA takes effect March 31. Angie will send an email after the workshop regarding whether TLN and its member libraries need to comply with CALEA.
•    Innovate Corporation performed the IT audit for TLN. Innovate Corporation has now merged with Plante & Moran for those interested in obtaining their services.
•    Technology plan update was approved by the steering committee and will be presented to the board on Thursday.
•    Workflows upgrade is on schedule and TLN will send out a CD with the update files.

DELL WORSTATION CONFIGURATIONS – Volume Discount
•    Technology Committee reviewed Dell workstation specifications for volume discount pricing thru TLN.
•    It was recommended that there be 5 different specifications to choose from for the Dell computers. The four specifications would include a small form factor model for staff and for public, a tower/desktop size for staff and public, and an ultra small form factor for public.
•    It was recommended that the staff machines have 2 GB of memory and the public machines have 1 GB.
•    GX620 model has no serial or PS2 ports and therefore not recommended for libraries using older peripheral devices.
•    Technology Committee would like to see pricing for 19 inch monitors. Dell monitor supports DVI and VGA.
•    Ultra small form factor has CD-ROM but it’s difficult to access the CD-ROM. The ultra small form factor only has one bay so it cannot have a CD-ROM and a floppy.
•    Technology Committee would like to see specifications for a laptop configuration as well.
•    In regards to the Dell printer more info is needed regarding print speed, supply costs, print quality etc.
•    All the Dell printers are networking printers.
•    Cartridges and toner for Dell printers can only be purchased thru Dell.

ANNOUNCEMENTS:
•    Salem-South Lyon purchased a new domain name. Their domain is now ssldl.info
•    Registration for Computers and Libraries national conference has begun. The conference takes place in March.
•    Waterford has a new branch that will be opening February 5th. The new branch has RFID, wireless, and self-check machines.
•    The Elizabeth I Exhibit is currently at the Livonia Civic Center Library.

UPDATE ON SEARCHPATH – Donna Winter
•    Screen shot updates are being delayed due to the fact that the iBistro Committee will be making a few more changes to iBistro.
•    iBistro Committee is still deciding whether to keep the “add to list” language. So searchpath update on that piece is also being delayed.
•    Other than the screenshots and the “add to list” instructions searchpath is done. Technology Committee members should review searchpath before the next meeting so that the searchpath project can be finalized. Searchpath can be viewed at http://tech.tln.lib.mi.us/searchpath/ .

SAM v8.5 – WHAT’S NEW? – Eric Hayes

•    Royal Oak began the install slowly to evaluate the product. Initially version 8.5 was only installed on 12 youth computers.
•    The basic steps for the public client install are listed below
o    Kill all the SAM processes running on the local machine
o    Run the uninstaller conveniently labeled uninstall.exe
o    Run the install file sam.exe
o    Copy files to C:\SAM and C:\%windir%\system32\ and then run extract.exe
•    All that is involved in upgrading the signup station is copying three files.
•    The new version has been working at Royal Oak. The signup station has been showing the correct information.
•    The new session dialog shows the patron their account balance and has a “my account” button.
•    On the signup station pressing ctrl+s gives a list of options. Libraries can choose to display their patrons by library card number, name, or screen name. Screen names only show up on the signup station and cannot be used to login to the SAM computers.
•    Royal Oak has implemented flextime but hasn’t really had a chance to test it out. Libraries can set the percentage for flex time on the SAM admin page under system options.
•    TLN asks that member libraries respond to the list of SAM questions regarding setup preferences sent to the SAM list before their install date. Angie will be resending this list of questions.
•    Upgrades for the member libraries should hopefully be completed before March 28th.

OPEN SOURCE IDEAS
•    The Technology Committee website now has an open source equivalency document available. An example of some of the equivalent programs is listed below
o    Open Office is equivalent to MS Office
o    DeepFreeze is equivalent to MS Shared Access
o    Koha and Evergreen are open source ILS systems.
 
INTERNET 2 IDEAS

•    Some ideas for using Internet 2 involve video conferencing and running a shared video class room from the Internet. One library could communicate to several libraries.
•    First step for looking into video conferencing is equipment. The committee is considering having a vendor come out and showcase the equipment. Possibly have Merit setup a demo
•    Need to discuss how to acquire the equipment. Currently we are unaware of any TLN members who own video conferencing equipment.
•    May need to look into LSTA grants to supply the equipment.
•    Darwin is an apple streaming media server that works great for pre-recorded data but not for live data.
•     It was recommended we talk to the Ann Arbor Hands-On Museum and discover what they’re doing with Internet 2\

 SECURITY TIPS & WEBSITES WORTH A LOOK

•    Zune does not work with Windows Media Player 11 or Net Library.
